Filing on the PC

C:\ drive, this is the hard disk in the PC sat in front of you and is your PC's long term memory. Try to keep files in folders i.e. Word doc's could be in a folder called Word or Docs and excel files in one called excel. Know where these are. If you create the folders in My Documents then they will be in C:\Documents and Settings\yourusername\My Documents\excel if you know this it makes it easier to back up or copy files without going into word or Excel to do save as. Make sure you're programme knows where this default directory is i.e. in excel goto Tools/Options/General then default file location or in word Tools/Options/file location/Documents and then Modify to changes it.

Finding Files

Assume we are looking for a file called print.dat

Start - Find - Files or Folders
or
Start - Search - for Files or Folders

Enter the file/folder name your looking for in the "Named" box
This can be the full name Print.dat or p*.dat, or *.dat, or p*.* but remember the more you tell it the less results you will have to read through.

Check "Look in" and make sure the Drive/Disk is correct

this is v.useful when the system tells you to delete your .OST file on the C:
Just put in "*.ost", make sure it's on C: and click "Find Now" when it listed it click on it and delete it.

In Dos or at Command Prompt type
at the c:\  or which ever drive you wish to search type
dir print.dat /a /b /s
or
dir p*.dat /a /b /s
or
dir *.dat /a /b /s
or
dir p*.* /a /b /s
 
 























Associated files

If you want to use something like Photo Editor with .gif files goto 'My Computer' 'View' 'Options' 'File Type' then select the file type and click edit, and click edit by action. Now tell it the Programme you wish to open that type of file with.

Deleting Files and Emails Permanently

If you don't want files or emails to end up in deleted items or Recycle Bin for you to delete again then press shift and whilst keeping it pressed down press delete, but be sure you don't want it.

Copying and Pasting

Screen grabbing from anvil or anything else on the PC in Windows (not dos)
Hold down the [Ctrl] key and then hit the [Print Screen] key (for a complete screen) or
Hold down the [Alt] key and then hit the [Print Screen] key (active window only)
 

Text or selectable Image grabing
highlight Data and then

hold down the [Ctrl] key and then hit the [Insert] key,
or
Click Edit then Copy
or
Click Copy Icon.

For Data read text or Image or both
 

Highlighting Data
Get the cursor over the start or end of text and then keeping your finger on the select mouse button drag it until you have highlighted all you want
or instead of the mouse press the shift key and the cursor keys to select

To select all hit Ctrl and 'A' or go up to Edit and click Select All.

To select 1 Word go to either end of the word and double click.

To select 1 Line go to the left of the line and double click.
 

Copying Data

After Highlighting the Data press the Ctrl key and then get your cursor over the highlighted Data (a little hand should appear) and press the select button, only release this when your at your destination. As you drag this away the hand will change to a document with a plus sign, if the plus sign is not there then you are moving the data not copying it.
or
after grabing the Data go to the destination with the flashing screen cursor and
hit shift and insert.
or
Click the Paste icon
or
Click Edit and then Paste
 

Moving Data

Get your cursor over the highlighted Data (a little hand should appear) and press the select button, only release this when your at your destination.
or
Highlight the Data you want to move and then either click the Cut icon or Edit then Cut, then move the screen cursor to the new destination and either click the Paste icon or Edit then Paste.

Deleting Data

Highlight the Data you want to Delete and then either
click the Cut icon
or
Edit then Cut
or
Edit then Delete
or
hit Delete key

Creating and copying Icons

Create a .bmp (BitMap) image file using paint and then rename it to an  .ico file
Now go to the icon you want to change and then click the non select (menu)mouse button and click properties and then change icon. Tell it where your new one is and hey presto.

Copying an icon - Press the Ctrl Key and then select the icon with the mouse and drag to where you want it to appear.

Exploring

Use My Computer or Windows Explorer or on older systems File Manager.

In Win 98/2000 not XP - If you prefer the file manager from Windows 3.11 go to 'My Computer' and look in C:\WINNT\system32\ then click on WINFILE.EXE once and click the non-pick button and select create shortcut, then drag shortcut to your desk top.

Backing Up

Regularly Back up your files.  Don't worry about backing up the whole Disk just make sure you back up the Files i.e. Word documents, excel, database file, picture and anything you created.
With this in mind check where your filing everything  i.e. when it say "Save As" do you leave it in whatever folder/directory it was set up in or do you put in your own area?

Backing up is just the process of copying your files to another device (USB, CD, DVD, another hard disk or these day even the web) not to another place on the hard drive. Although the later would be fine if you want a previous version of a document you've messed up it will be no good if you lose your disk through mechinical or software failure, theft or virus. With the exception of theft you can with time and money get someone to recover most of your files. But if your a company or you just need information now that's no use, however if you have a back you keep it safe and if your system isn't working you can read, print or whatever on any PC as long as it has the same package as you created it on.
